Working with the Haul-Rite Trucking,
LLC
Sample Company:
mptruckingexample.qbw
When you install ManagePLUS, one or more sample QuickBooks
company files are also installed. This article tells how to work
through steps in the Quick Start Tutorials topic
of the ManagePLUS Help system, using the mptruckingexample.qbw sample file.
|
Don't have this file? If you've installed
ManagePLUS recently you probably do have
this file. If you're not sure where to find it, the Quick
Start Tutorial will help you find and use it.
However if
you need a copy, you may download one from the ManagePLUS
Downloads page.

General instructions for working with sample company files are found
in the ManagePLUS Help system. If you don't yet have ManagePLUS, you can use the online version
of ManagePLUS Help to see what steps are involved. (It loads
immediately, right here in your Web browser.)
Here's a screen
shot of the online Help index, with the Quick Start Tutorials
topic opened to show its subtopics:

Important Note!
The topics on this page, below, correspond to the Quick Start Tutorials
subtopics in the screen shot, to help you match up the
information provided here with the appropriate tutorial
lessons.

2. Selecting an
accounting period
In the current version of mptruckingexample.qbw, all transactions
are dated in the month of December 2008, so define the accounting period in
ManagePLUS as 12/1/2008 - 12/31/2008.
3. Working with
the Chart of Accounts list
On the Chart of Accounts tab in ManagePLUS, after refreshing
accounts from QuickBooks...enter units of measure (UOM) for accounts where a unit of measure is appropriate.
(Reports will only show quantities for accounts which have a UOM
associated with them.)
We
suggest the following. (Only accounts to which a UOM is assigned
are shown.)

A note about this Chart of Accounts
structure... Most QuickBooks chart of accounts examples
use only one, or just few, Cost of Goods Sold accounts. That's
probably mostly due to the way QuickBooks accounts for the cost
of goods sold for inventory items.
But this Chart of Accounts illustrates an alternate
way to use the Cost of Goods Sold account type, for more intelligent
profit and loss reporting in some business types. Specifically, if a
business has lots of direct variable costs (costs which vary directly
with the amount of sales or business activity), it may make sense to
set up accounts for those expenses using the Cost of Goods Sold
account type. In this case expenses that are directly related to the
amount of business done by the trucking company, like fuel and driver
pay, are set up as Cost of Goods Sold accounts.
The result is that the Profit and Loss report for
this company will show a Gross Profit that reflects profits above the
direct costs associated with doing business (here, hauling freight).
4. Working with
subtypes (Classes list example)
On the Classes tab in ManagePLUS, after refreshing classes from
QuickBooks...enter production/use bases and units of measure
for classes that will be analyzed on a per-unit basis on
reports. We
suggest the following:

A note about how this Classes list is
structured... The Classes list should usually be organized to
provide the biggest "bang for the buck" in terms of
management information. Though the list above could have just
consisted of the individual truck classes, we wanted to illustrate
the reason for
6. Creating and
printing a report
No special instructions here, but if you want to see a report
based on the sample company's transactions and the account and class
data above, visit the ManagePLUS Reports
page and look at the Profit & Loss with Classes report, Haul-Rite
Trucking, LLC Example.
